Privacy Policy

Tools that run in your browser

Most Utils365 tools process your files on your own device, inside your web browser. Your files are never uploaded to us, and we never see them. This includes the PDF tools for merging, splitting, organizing, rotating, cropping, signing, watermarking, numbering, protecting and unlocking, PDF to JPG, PNG and text, the image tools for compressing, resizing, cropping and converting, the QR code and barcode generators, the video tools for trimming, making GIFs, extracting audio and muting, and the HEIC, CSV and JSON converters.

Tools that use our servers

Some tasks need more power than a browser has: Compress PDF, PDF to Word, Word, PowerPoint, Excel, Markdown and EPS to PDF, Remove background, Upscale image and Compress video. For these, your file is sent over an encrypted connection (HTTPS) to our processing server, converted, and sent back to you.

• Your file is deleted as soon as you download the result, and automatically within one hour at most, even if you don’t.
• We don’t look at your files, keep copies of them or use them for anything else.
• Our server keeps a short technical record of each job (a random job number, the tool used, file sizes, processing time and any error) so we can keep the service running. It doesn’t record file contents, file names or who you are.

AI writing tools

Summarize text, Paraphrase, Grammar fix and Translate send the text you enter, through our server, to Google’s Gemini API, which writes the result. Utils365 doesn’t store your text or the results.

Google processes the text under its Gemini API terms. It may keep it for a limited time to detect abuse and, depending on the service tier, may use it to improve its products. Please don’t enter sensitive personal information, such as health, financial or identity details, into the AI tools.

Contact form

If you use our contact form, your name, email address, chosen topic and message are sent through Web3Forms, a form delivery service, to our inbox at [email protected]. We use them only to reply to you, keep them only as long as needed to handle your request, and never add you to a mailing list. Web3Forms delivers the message under its own privacy policy. If you prefer, you can email us directly instead.

What we don’t collect

• No accounts: you don’t need to sign up or give us your name or email address to use any tool.
• No cookies: Utils365 doesn’t set any cookies.
• No advertising or tracking: we don’t use ad networks, tracking pixels or third-party analytics.

If this ever changes, for example if we add privacy-friendly visitor statistics, we’ll update this policy first.

Technical information

To keep the service fair and protect it from abuse, our servers briefly use your IP address in memory to limit how many requests one visitor can send in a minute and in a day. It isn’t written to our logs or used for anything else.

Like any website, the companies that host Utils365 may keep standard server logs, such as IP address, browser type, the page requested and the time, for security and reliability. These are kept for a short period and aren’t used to identify you.

Information stored on your device

Utils365 remembers a few preferences in your browser’s local storage: your light or dark theme, your language choice, whether you hid the category panel, and whether you’ve seen the bookmark reminder. This information stays on your device, is never sent to us, and you can clear it at any time in your browser settings.

Who we share information with

We don’t sell, rent or trade personal information. The only services that receive data from Utils365 are Google, for the AI writing tools as described above; Web3Forms, for messages sent through our contact form; and the hosting and infrastructure providers that run our website and processing servers, which handle data only to provide that service.

Children

Utils365 is a general-audience service and isn’t directed at children under 13. We don’t knowingly collect personal information from children.

Your rights

Because we don’t have accounts and delete files quickly, we usually hold no personal information about you. Depending on where you live, for example in the European Union or the United Kingdom, you may have the right to ask what information we hold about you, to have it corrected or deleted, to object to how it’s used, and to complain to your local data protection authority. Security

We use encrypted connections, keep files only for as long as needed and process each job separately. No online service can be perfectly secure, but we design Utils365 so that as little of your data as possible ever reaches us.

Changes to this policy

We may update this policy as Utils365 changes. The date at the top shows when it was last updated, and important changes will be highlighted on this page.
